Learning Suite - Messages: How to send/reply

Difference Between Notifications

The main difference between a Learning Suite Messages notification and a Learning Suite Email is the blue box that surrounds the message. This indicates it is a notification from Messages. See the images below.

Senders:

There are four ways to send messages in Learning Suite. 

 

Option 1: Send an email from All Courses page (This will send through an external email provider, not Learning Suite)

  1. Select "Email" on the left side panel.



  2. Select which course you want to message,  or select "All Courses" to send to all of the classes taught.
    OR you can select specific recipients by checking the box next to their name (or searching for them specifically in the search box).

  3. You may also add additional recipients by typing in their email address below. Or receive a copy of the email by checking the box. To send to multiple recipients, separate each address with a comma but no space.

  4. Compose a message as normal with Subject and Body. You may also choose to attach a file or multiple files by selecting the "Choose" button next to attachment.



  5. To remove, click on the  icon to the left of the file.

  6. Click Send Email to send to class.

 

Note: The sender must understand that The Learning Suite cannot guarantee delivery of email messages, since those emails are delivered via an external email system such as Outlook, Gmail, Hotmail, etc. 

Note: Professor's email addresses are pulled from their personal email in PI (not work). After updating the email in PI it takes overnight to sync to learning suite.

Note: Sometimes the professor will not see their email listed next to the Copy Myself option when they have before. If this occurs, try clicking the Refresh Course Button.

Option 2: Send an email within a course

The steps to send an email within a course are virtually identical to the ones when sending from All Courses, except the email is only sent to those within the specific course.

Two additional options are available on this screen:

  1. Specific sections can be selected for the email to be sent to.

  2. Student-to-student messages can be disabled for the specific course.

 

Note: Learning Suite cannot guarantee delivery of email messages, since those emails are delivered via an external email system such as Outlook, Gmail, Hotmail, etc.

Also, once an email has been sent through this means, there is no way to prevent it from being sent, nor is there a way to delete it since it has been forwarded to an external email system.

Option 4: Send a message via BYU Grades

Note: This sends a message via email, not a message via Learning Suite Messages.

  1. Select the small arrow next to an assignment name.



  2. Select the option to message students. A box will pop up on the screen where a message can be created.

Recipients:

How to reply to email:

Even though emails come from a "noreply-learningsuite@byu.edu", replying to these messages will automatically put the sender's address in the "TO:" Field. This allows the recipient to make a direct reply to the sender without having to create a new message.

Note: If email received from student is from Learning Suite Messages, it will have a blue header in the email body. Clicking reply will not send an email response to the professor. To respond to these messages, the student must use Learning Suite Messages within Learning Suite.

Learning Suite Messages cannot mask instructor emails (making it seem like it's sending from their email).

Most email clients will open up a new message in a separate dialog box. This is a client standard and there is nothing that we can do to change this.

Additionally, emails do not display to the recipient the other recipients of the email. Learning Suite Messages messages do show this however. 

If anyone asks about forwarding emails in Learning Suite there is currently no way of doing this. They will have to copy the message and paste it into a new email if they would like to forward it to a new recipient. 

Note: If a student reports not being able to see messages from a specific class that were previously there, make sure to check and see if the instructor disabled messages for the class. This will cause all messages to be removed from the internal messaging area. If the instructor re-enables messages, the messages will return.

Email Feature Bug

If the Professor/TA/Supervisor is using a @yahoo email address they will be unable to send email messages to students. To fix this, have the Teacher update their email preference (https://lsinfo.byu.edu/student-preferences) in LS to another email or a BYU alias.
